DOMUS is a Latin word meaning house, family. Here is how you should use this manual:  First, read chapter 1, Installation, to verify that your computer has the minimum requirements to make this software work.  Then, install the software by following the installation instructions in chapter 1. The text you will need to type will be enclosed in brackets < > and in small letters. For example, means type the letter "a" followed a colon ":". You do not type the < >. When the program asks you to type a special key, the key name will be in capital letters. For example, , , .  Also become familiar with the screen modes and how to move around the screen with the cursor (Appendix B, Screen modes)  When the installation is complete, read chapter 2, Accounting principles to familiarize yourself with the accounting system and the procedures.  You are ready to go on with Using DOMUS (chapter 3). Follow all the steps carefully. You will have to come back to them later. The other chapters explain in detail how this program works. It will serve as a reference during the start-up and later to explain all the functions in this software. NOTE: Before using options or commands that are unfamiliar to you, please refer to its definition in this manual. - 1 - Chapter 1 Installation A- Introduction DOMUS is an accounting program for individuals or families. This includes the treatment of bank accounts (checking or savings), credit margins and credit cards. Budgeting functions are also performed with this software. DOMUS is not just a simple checkbook, but a complete system used to maintain personal or family finances. This software is controlled with pull-down menus that you go through to accomplish the many different tasks. This is done by answering questions and giving the required information. WARNING: The software saves the information in files to which you should have access through the program only. Many files are not visible to you, the user, but you can see that they exist by recalling a directory list with the command DIR. However, you must avoid modifying these files with other programs such as DBASE or FoxBASE It is most likely that such action will modify the file to render it unusable by DOMUS. B- What is DOMUS - a personal or family finance management system - unique weekly or bimonthly budgeting system, which is optional - multiple accounts (up to 99): 1 - bank accounts (checking or savings) 2 - credit margins 3 - credit cards (which can be linked to a bank account for budgeting purposes) - checkbook balance at all times - automatic transactions (expenditures or revenues) - expense and revenue reports by date, payee or category - display amount available at all times - pull-down menus - integrated calendar - calculator - and more... C- System requirements DOMUS requires a computer working with the operating system MS-DOS or PC- DOS version 3.3 and higher or DR-DOS version 5.0 and higher. The computer (PC compatible) minimum requirements are: - RAM memory of at least 512K, of which 420k must be available - 2 - - A hard disk with 1 meg free space. Please note that DOMUS will work on high density disks, but a hard disk is recommended for speed and data storage capacity. - A computer clock. If your computer does not have one, you must enter the time and date manually or in your AUTOEXEC.BAT file. This is important because DOMUS relies on the correct date to accurately process automatic transactions and budgeting functions. You will be warned however, if the system date is set before the date DOMUS was last used. D- DOS configuration Programs that use databases (like DOMUS) need to have several files and indexes opened simultaneously. In order for this to be possible, these two lines must be included in your CONFIG.SYS file (if they're not there already): FILES=35 BUFFERS=8 This configuration is sufficient for this program. If you already have higher numbers for these two commands, leave them as they are. The numbers mentioned here are minimums and we assume WINDOWS is not running. E- Installation DOMUS is usually installed on the hard drive. This program must be installed to use it even if you are to use a high density disk. The DOMUS1.EXE file is a compressed file that expands upon installation. Enough space must be available on your hard disk. DOMUS needs about 1055k. To install, type DOMUS1 then press . You will be asked to confirm that you want the DOMUS files decompressed and installed on the current disk drive and directory. Installation is then automatic. When installation is done, you will be ready to start by typing DOMUS . You should, however, place the DOMUS files alone in a subdirectory and not with other programs. File name conflicts could occur. Before starting DOMUS, please read the next chapter, Accounting principles. - 3 - - 4 - Chapter 2 Accounting principles The main reason we wish to manage our finances, is to balance our budget. That is, to not spend more than we make. At first, we budget to make ends meet. Our next goal is saving money for future projects. But soundly managing our money is hard to do. If we do not use a structured approach, the end of the months are sometimes trying and we are often stung by a bill not anticipated. A method of budgeting with provisions is effective, but working it manually is difficult and not very flexible. It is hard to determine exactly how much we can spend without exceeding our capacities. However, using DOMUS is remarkably easy and permits the required flexibility or rigidity needed in budgeting. We can start with the basics, then acquire greater control of our expenditures up to the point of anticipating all our needs while having adopted a healthy budgeting method. A- Budgeting with provisions Here is how budgeting with provisions works. The principle is simple: expenses must be anticipated and money set aside to pay for them when they come due. The more expenses we anticipate, the more our budgeting is complete, the easier it is to make ends meet. How do we do this? We start by identifying all the expenses we incur at regular intervals: these are our categories of expenditures. For example, we could have Rent, Groceries, Car payments, House insurance, Property taxes, Clothing, etc. We will later assign a code to each category. We then calculate or estimate how much was spent on each category in the last year. Divide the total for each category by 52 and this will give us a fairly accurate estimate of how much we must put aside per week (or divide by 26 if you want your budgeting period to be bimonthly). (We define bimonthly as two weeks). Let's look at a typical family, which we will call the Smith's. After having identified their current expenditures, and estimated their weekly requirements, they have a list of the following: per week rounded groceries 160$/week 160 160 car payments 380$/month 87.69 88 permits and plates 345$/year 6.63 7 rent 520$/month 120 120 auto insurance 600$/year 11.54 12 house insurance 200$/year 3.85 4 life insurance 60$/month 13.85 14 children's allowances 20$/week 20.00 20 clothing: 100$/month 23.08 23 gasoline 25$/week 25.00 25 ____ - 5 - 473 The Smith's need 473 dollars per week to pay their bills. This is estimated weekly provisions. There are also repairs and incidentals that must be considered. So let's add: repairs 15$/week incidentals 15$/week. This brings the total to 503 dollars per week. If M. Smith were to put aside the amount needed for each category each week in an envelope, he would have no problem paying the bills by taking the money in the corresponding envelope. This is exactly what DOMUS does for you. Once a week or every two weeks, the program puts aside (or credits the provisional account) the amount budgeted for the category. This amount is no longer available. It is considered as spent even if the cash is still in the bank account. The money will leave the bank when the bill is actually paid. It is as if M. Smith put 503 dollars per week in an envelope for each category of expenditures, then paid each bill with money from the appropriate envelope. With DOMUS, instead of using envelopes, a code is assigned to each category. The balance of each category is automatically adjusted by the program as provisions are put into the account, and as the transactions are made. M. and Mrs. Smith have a combined weekly income of 700 dollars, so we can see that they have about 200 dollars per week available. This is no reason to jump for joy. Tight budgeting will be needed to pay for entertainment, hobbies, vacations, savings, etc. - 6 - Chapter 3 Using DOMUS Before starting-up, please have on hand the number and balance of a bank account you wish to install (preferably the account with which you will pay your bills). The program will require you to start with one account. The other accounts will be added later. To start, type The program will welcome you and ask you to wait while the working files are installed. This could take one to four minutes depending on the type of processor in your computer. It will change each time a transaction is entered (expenditure or revenue) 2. on the right: Available: 0.00; this is the amount available. This number is [Bank Balance] - [Provisions] if you are using the budgeting functions of this program, and the account balance if you are not. Between Balance and Available is the message line. A beep will precede warning messages. C- Menu Bar The second line from the top is the menu bar. These are pull-down menus. Six choices appear on this line. 1. Add: to add new transaction 2. Search & repl.: to modify entered transactions 3. Reports: Expense and revenue reports, and account conciliation 4. Provisions: shows the provisional accounts on screen 5. Utilities: tools to work with DOMUS 6. Quit: return to DOS The first item on the menu (Add) should be highlighted. D- Moving around DOMUS Movement around the screens is done with the arrow keys. Also, you can use the capitalized letter of the pull down-menus to make selections. A message appears on the bottom line, which details the main menu categories. Presently, the menu choice Provisions is not available because none have been yet entered. Menu choices that are not available are dimmed. E- Pull-down menus Pull-down menus can be selected in three ways: 1. by pressing when the choice is highlighted 2. by typing the capitalized letter of a menu choice (a to select Add) 3. using the arrow keys - 10 - F- Considerations concerning categories Before we continue, we must talk about categories. Categories are a type of expenditure or revenue transactions that affects an account. A three-digit code is given to each category, starting with an E for expenditures, and an R for revenues. When DOMUS is installed, three categories are automatically created, and cannot be removed by the user. They are: E01 Credit card payments E99 Miscellaneous expenditures R99 Miscellaneous revenues A category code must be assigned to every transaction entered. Category codes are also assigned to automatic transactions, provisions, and transfers. The category codes (E04, E26, R52 etc.)are to be entered by the user. One thing MUST be remembered using provisional accounts, categories with the same number (such as E34 and R34) will affect the balance of the same provisional account of that category. For example, if you have an expense category called Insurance E34, you must name R34 (if created) as Insurance revenues because R34 revenues will be credited to the Insurance provisional account. Therefore, the E and R's of the same number are linked to the same category. There should be enough numbers left (97) for the needs of most users. G- Outstanding transactions The startup of the system was probably done after a bank account reconciliation, and the account balance entered was the bank's balance at the bottom of the bank statement. Outstanding checks and deposit must now be entered to reflect the actual state of your account. (Please refer to Adding expenditures). You need not create all the categories before entering transactions. Categories can be created while transactions are entered. You will notice that Balance and Available at the bottom of the screen changes as transactions are entered. It is possible that you also have outstanding deposits to be entered. (Please refer to Adding revenues) Once the account is up-to-date, budgeting provisions can be entered. H- Entering budgeting provisions If you wish, you can now enter provisions, which the system will put aside each week or every two weeks. Refer to Adding provisions, and make your entries. You can also create new categories as you enter provisions. When the provisions are entered, and you have money to put aside for future expenditures, you can reallocate funds to the provisional accounts. These are called transfers. Here, it would be a transfer from aVailable to provisions. Please refer to Adding transfers. - 11 - You can now look at the provisional account summary, by selecting Provisions on the main menu. Refer also to the chapter on Provisions. Note: It will probably be several months before the provisions for all your expenditures are up-to-date. For example, if you start your provisions in May, and your car insurance payment is due in June, you probably won't have the amount needed in the provisional account unless you transferred the funds from Available to provision (see Transfers in the Add menu). You could operate with a negative balance in your provisions and make up the difference later when extra money comes in. Do not get discouraged if your situation is not quite as you would like it to be. You will soon see the advantages of budgeting with provisions, and it is strongly recommended that you link your credit cards with the checking account (payer). That way, whether you pay certain expenses such as gasoline and incidentals with your credit card, the provisional accounts will be updated automatically and money will be in the provisions to pay your credit card bills. In this manner, you will have firm control over your finances. Also, do not hesitate to recommend DOMUS to your friends. When you have finished adding the payee to the list, this payee will appear in the Payee field of you transaction, and will not appear if you quit with . This function key works in all fields requiring you to specify a payee or category except, of course, if you are adding or modifying a payee or category. F- Print report: F7 The function key F7, when displayed on the bottom of the screen, is used to print the provisions report or the reports on expenditures or revenues. Use to return to the main menu. - 39 - Chapter 8 Reports This option on the main menu gives us three types of reports: - expenditure reports. - revenue reports. - account reconciliation. The first two reports appear on screen with the option to print, and the third is printed automatically. A- Expense reports Three types of expense reports are available: - all expenditures. - by category. - by payee. You may limit the search between certain dates by supplying the start and end date. If you leave the begin date blank, the search starts at the beginning of the file. If the end date is left blank, the search continues to the end of file. In all cases, the date shown in the reports are inclusive. That is, all transactions on these dates are included. Examples: 1. You wish to see all expense transactions made in June 1992: - select Expenditures from the Reports menu. - select All expenditures. - enter <06/01/92> at Begin date. - enter <06/30/92> at End date The list appears on screen. Remember, the beginning and ending date are inclusive. 2 You want to see all expenditures attributed to E21 from the beginning up to and excluding September 1, 1992. - select Expenditures from the Reports menu. - select by Category. - enter at category. - press at Begin date (leave blank). - enter <08/31/92> at End date. . C- Account reconciliation Account reconciliations are very important because this is how you will verify that all transactions that clear the bank have been entered in DOMUS. It is not an obligation, but a highly recommended practice. Account reconciliation can be done any time when you receive a bank statement or have your account books brought up-to-date. 1st step: Process the expenditures. Mark with

all transactions that have been processed (or has cleared) the bank. Access transactions through Search & repl. - Expenditures. Then search by date or check number to find the entries on the bank statement. Once the requested expenditure appears on screen, press

(for processed) and a P will appear next to State. Also, mark the entry in your bank statement. Proceed similarly with the other transactions. You exit the Search & repl. - Expenditures screen with . 2nd step: Process the revenues. Do the same thing with the revenues. Use Search & repl. - Revenues to locate revenue transactions to be processed, then

to mark them. Use to return to the main menu. - 41 - 3rd step: Reconciliation. Select Reports - Account reconciliation. Then check that the printer is ready. You will be prompted to enter the bank statement's closing balance and press . If the account doesn't balance, a message will appear showing the difference, and a report is printed. Also, printed are all outstanding checks and deposits. Usually the problem is a check or a deposit that was either not marked (P) or not entered. When the account balances, you may print a report of all expenditures and revenues for the period (or month) and file them with the reconciliation. You have the option of purging processed or canceled transactions (Utilities - Purge), but before doing so, it is recommended that you produce a printed report. - 42 - Chapter 9 Utilities A- About DOMUS... This menu item displays the names of the designers and programmer of DOMUS. Also, an order form may be printed for you or yours friends. Press to return to the main menu. B- Backup data Probably one of the most important tools, it is used to archive your data on a floppy disk. Backup frequency: Experience shows use that backups are not made often enough. Try to backup your data after each session with DOMUS, or at least once a week. Backup tips: We recommend that you have at least two backup disks. One could be labeled "Backup - DOMUS - session" and used to backup data at the end of each session. The other could be labeled "Backup - DOMUS - reconciliation" and used each time a bank account reconciliation is made. If, at a latter date, you are unable to balance your accounts and wish to reenter your data, you could start again with a backup known to balance. BACKUP OFTEN!!! We can't say it enough. C- Change account This menu item is used to change the account your working with. It is only available if you have entered more than one account. Otherwise, choose a printer which your printer can emulate (Epson, IBM, etc.). - 47 - Chapter 10 Linked accounts With DOMUS, you have the option to link your credit card account with the account that pays the credit card bills (usually a checking account). This means that the credit cards are also linked to the Provisions of the Payer account. For example, if your credit card is linked to your checking account and you buy gasoline, the funds (of the amount of the purchase) in the provisions for gasoline is transferred automatically to the provision to pay your credit card. In this manner, you may have very tight control over your credit cards and always have the provisions needed to pay the credit card bills when they come due. It is strongly recommended that you link your credit cards. A few frequently asked questions: 1.- What is a Payer account? It's a type 1 account (checking or savings) used to pay the credit card bills. 2.- Do I need to start the system with a credit card balance of $0.00? No, not really.You can transfer funds to the credit card provisions of your Payer account later. (More on this later). 3.- Can we link more than one credit card to the same Payer account? Yes, most certainly. But the reverse is not true. 4.- Can we link a credit card that was not linked during the installation of the account? Yes, credit cards can linked and unlinked any time. 5.- Must the Payer account work with provisions when creating the link? No. When the credit card is linked, the provision E01 Credit card payments is automatically created if it is not there. The Payer account could have this one provision only. 6.- Why link the credit card accounts? The advantage of doing so is that credit card transactions will update the amount Available of your checking account, unless the expense is budgeted for with provisions. In that case, the provisions are adjusted. How to link two accounts. Two situations are possible: 1.- The credit card account is not yet created. Go to the main menu and select Add - Accounts. Enter the number and name of the credit card. To the Type, enter 3 (credit card). In the Payer field, enter the number of a type 1 account. This will be the account the credit card is linked to. Next, enter the credit limit and balance owed. 2.- The credit card account is already installed. This account must be modified. Go to the main menu and select Utilities - Change account - 48 - and select the credit card account you want to link. Next, go to the Search & repl. - Accounts and select the credit card. Type to modify and move down to the Payer field and enter the number of the Payer account. The credit card is now linked. In both cases, DOMUS will create (if not already created) the provision E01 Credit card payments and the provision balance will be $0.00. How does linking work? First, let's see how credit card transactions work. You enter your expenditure in your credit card account as explained in Adding expenditures (Chapter 5) The credit card Balance and Available are updated. However, if the account is linked, two other things happen; 1.- The provision balance for E01 Credit card payments will increase by the amount of the transaction. This means that funds are set aside to pay for that transaction. 2.- The program will verify the category of the credit card expenditure to see if it is a provision category for the Payer account. If it is, the expenditure amount for that category is subtracted from the provision. Thus, the amount available in the Payer account remains unchanged. Otherwise, the amount available in the Payer account will be decreased by the amount of the credit card transaction (because the funds were transferred to E01). Therefore, a credit card purchase is treated as if it was paid with the checking account. If the Payer account has provisions for the category of expenditures, the provisions are reduced, otherwise the available amount is reduced. Credit card payments You make a payment to the selected credit card for the amount wanted with a revenue code (R01 to R99) and the payee is the credit card issuer. The payment reduces the credit card Balance (as shown on the lower left of the screen) and increases credit Available (lower right of the screen). Then, DOMUS adds an expenditure transaction to the Payer account of the same amount with E01 as the category, and Payee is the credit card name. This amount is deducted from the provision E01 of the Payer account. The amount available in the payer account remains unchanged because the bank balance and provisions are reduced by the same amount. (Refer to Appendix A - How balances are calculated). All is simple if the credit card balance was $0.00 when the card was installed. The amount owed on the credit card is equal to the amount in the provisions E01 of the payer account. When the credit card account is installed with a balance, the amounts will not be the same. When time comes to pay the credit card, funds must be transferred to E01 if the amount paid is greater than the balance in the provision. - 49 - For example: You link your VISA card to your checking account, but you start with a $300.00 balance with VISA. The amount due to VISA is $300.00 but the provision E01 balance is $0.00 when it is created. During the first month you add $50.00 to VISA expenditures that brings the balance owed to $350.00. The amount in the provision E01 is $50.00 (expenses added during the month). When a VISA payment is due you may decide to pay $100.00, but there is only $50.00 in the provision E01. What do you do? You make a $100.00 payment the usual way with the VISA account. DOMUS automatically adds a VISA payment transaction in the payer account to E01 to the amount of $100.00. The balance of E01 in the payer account is now at $-50.00. You may now transfer funds to bring E01 back to $0.00 You do this by selecting Add - Transfers then Available to provision (in the payer account). Transfer $50.00 to E01 that will bring E01 balance to $0.00 You may decide to do this each month until the credit card balance and provision E01 are of the same amount. This will mean you no longer have any arrears in VISA payments. You could also have the Provisions set aside a certain amount each week or two weeks to the E01 provisional account. To do this, go to your Payer account, then select Search & repl. - Provisions and select Begin of file. Type to modify E01 and enter the amount you wish to set aside each period. Exit with two 's Once the credit card balance and E01 provisions are equal, you must set the provision deduction for E01 back to $0.00 per period. If extra funds were transferred to E01 with provisions, the extra money can be transferred back to available. It's your money. Unlinking a credit card You may unlink a credit card any time. This is how you do it: 1.- Select the credit card account when starting-up DOMUS or select Utilities - Change account from the main menu. 2.- Use Search & repl. - Account and select the credit card account. Type to modify. Bring the cursor to Payee and delete the existing number with the key. Exit by pressing twice. The credit card is unlinked. 3.- The deletion of E01 is not done automatically. The provision balance can be transferred to another provision or to available if you wish. This is not done by DOMUS for several reasons: - You could have other credit cards linked to the same E01 provision. - You may still want to use E01 even if the credit card is unlinked. - You may want to transfer E01 funds to another provision. - 50 - Appendix A How balances are calculated When an expenditure or revenue is entered, you must assign at least one category to the transaction (you could have up to three categories for an expenditure). The method used to calculate the Balance shown on the bottom left of the screen differs if it is a current account (checking or savings) or if it is a credit card or credit margin account. 1.- Current account (type 1) Here is how the Balance and the amount Available is calculated if you work with provisions (if you do not use provisions, the Balance and Available will display the same number and the following does not apply). - Each expense that corresponds to a provision category will not change the amount available but only the account balance. Actually, the amount available is the [account balance] - [total of provisions]. So, when the account balance is reduced by $100.00, the provisions total is also reduced by $100.00 and the amount available remains the same. - An expense that does not correspond with a provision category will change the account balance and the amount available. - Revenues work the same way. All revenues will affect the account balance but only the revenues with a number different from that of a provision will increase the available amount. 2.- Credit cards or credit margins (type 2 and 3) For credit cards and credit margins we no longer have Balance and Available but Amount owed and Credit Available. These two types of accounts cannot work with provisions. Thus, the balances are easily calculated: - all expenditures increase the amount owed and reduce the credit available. - all payments reduce the amount owed and increase the credit available. - 51 - Appendix B Screen modes There are two modes of interaction with this program: - The program waits for you to make a menu choice. The cursor is invisible. - You are in edit mode. The cursor is visible and brackets appear where you are to enter data. - 52 - Appendix C How to move around in DOMUS When you are in edit mode, brackets [ ] appear where you can enter data, and the cursor will be visible. You may move the cursor with the following keystrokes: Movement keys Move the cursor one character to the left (does not erase). If at the beginning of the field, the cursor will not move to the previous field. Move the cursor to the right. If at the end of the field, the cursor will move to the next field. Move left one word. Move right one word. Move the cursor to the previous field. Move the cursor to the next field. or Move the cursor to the start of the field. Move the cursor to the end of the field.
